Displaying Basis of Pay on Your Employees’ Pay Statements

08/17/17

Author: Andaika Jean-Noel/Wednesday, August 16, 2017/Categories: Hawaii, New York , Oregon

Employers with employees working in New York, Hawaii or Oregon must display their employees’ basis of pay on employee pay statements.  To ensure it is displayed, the basis of pay (e.g., paid by the hour, shift, day, salary, piece, commission etc.) field must be selected in MyTotalSource under the HR Tab/Employment Profile.  Once the basis of pay field is selected, the basis of pay will then display on all future pay statements.  The basis of pay is only required in New York, Hawaii or Oregon; however, any employer may include the basis of pay on employee pay statements if desired.

To assist employers with the basis of pay setup for existing employees in any of the required states above, ADP TotalSource will default the basis of pay in the following manner:

EE Type

Exempt vs Non-Exempt

Basis of Pay Default

Daily

N/A

DAILY

Hourly

N/A

HOURLY

Salaried

Exempt

SALARY

Non-Exempt

If an existing employee should be setup with a basis of pay of shift, piece or commission, you must change the basis of pay default in MyTotalSource (HR Tab/Employment Profile).  MyTotalSource will prompt you to select the basis of pay for new employees who work in a state that requires this display on the pay statements.

Action Points: If you have employees in Hawaii, New York and Oregon for whom the default basis of pay designations will be appropriate, you do not need to take any action and the default basis of pay will appear on future pay statements. If you (1) have employees who will need a basis of pay other than the one defaulted, or (2) you do not have employees in one of the three states previously mentioned and would like to have the basis of pay displayed on your employees’ pay statements, please log on to My TotalSource, select the basis of pay field on the HR Tab under Employment Profile, and select the appropriate basis of pay for your employees.

As always, please feel free to contact your Payroll Service Representative for assistance or with any questions you may have.
