Overview - We have updated our Basic Employment Polices (BEP) to address a number of recent legal issues and trends as well as to make the policies more user-friendly and concise. The new BEP should be distributed to and acknowledged by all current employees and future new hires.
We have also updated our online employee onboarding application to include several notices that are required to be distributed to employees at the time of new hire.
Details
The New BEP
The BEP has been streamlined to eliminate duplicative policies that appeared in each state-specific BEP. The New BEP is now a single document that includes a multi-state section and a state specific appendix for state specific policies. New state specific policies include for example a policy for San Francisco Paid Parental Leave Policy and a New York Reproductive Health Discrimination Policy.
BEP Distribution to Employees
The new BEP will automatically be distributed to future new hires effective April 6, 2020 through our online onboarding application.
The new BEPs will be available on FormSource after April 6, 2020 in the Pre-hire section. There are four versions:
- BEP in English
- BEP in Spanish
- Union Employee BEP (“Welcome Statement”) in English
- Union Employee BEP (“Welcome Statement”) in Spanish
New Hire Notices
Our online onboarding application has been updated to include several state and local notices that are required to be distributed to employees at the time of hire. These state and local notices will appear based on the state in which the employee works with an instruction for employees to review the local notices as applicable.
Action Items
New BEP
There is no action required on your part if you are using our onboarding application to hire employees.
If you are not using our onboarding application to hire employees then you should ensure that you are manually distributing a copy of the New BEP to employees.
You should also consider distributing a copy of the new BEP to current employees. If you choose to distribute a copy of the new BEP to current employees you are not required to provide ADP TotalSource a copy of this acknowledgement.
New Hire Notices
New hire notices that are required to be distributed to employees which do not require employer specific information are included in our online onboarding application.
Other notices that must be distributed by employers which require employer specific information or customization (ex. wage theft notices) can be found by accessing Littler GPS multistate surveys under “documentation that must be provided at the time of hiring.” Littler GPS can be accessed through ComplianceHR. If you need assistance accessing Compliance HR please contact your Human Resources Business Partner.
As always, feel free to contact your Human Resource Business Partner if you have any questions.
