Second Quarter End 2016 is fast approaching. ADP Resource is delivering the tools you need to power through the necessary administrative work, close 2nd Quarter efficiently, and provide your company with accurate quarter filings.

Important Quarter Dates:

June

29

Last day to submit payroll for actual pay to your employees for a pay date in 2nd quarter

30

End of quarter and last day to process corrections without potential agency penalty and interest (P&I)

 

July

4

ADP Resource is CLOSED. This is a federal banking holiday.

Last day to request 2nd quarter correction payrolls (Out-of-Sequence payrolls)

IRS Filing and Deposit deadline for 2nd quarter 2016

 

The following checklist is a guide to use in closing out your Second Quarter 2016 payroll. All adjustments should be processed with your last June payroll. EFORE 

 

Company Info

  • Review your Quarterly Tax Verification Letter (QTVL) to ensure all Federal, State, and Local Tax IDs are accurate
  • Provide ADP Resource with any state tax missing IDs
  • If your company has moved/changed addresses in the past quarter, ensure all addresses for tax filing have been updated with ADP Resource
  • Enter data for your Total Compensation Statements (if applicable)
  • Report any Special Compensation & Miscellaneous Tax Items Make Final Payroll Adjustments

 

Employee Info Review & Correct

  • Record Manual and/or Voided Checks that were issued in 2nd quarter 2016
  • Social Security Numbers: Review any new hires in the past quarter
  • Review your most current Master Control to ensure employee state coding, tax blocks, and employee totals are accurate
  • Review 2nd quarter 2016 Wage & Tax Register for accuracy
  • If any of your employees moved to a different state and/or local that will impact the taxes withheld from his or her pay, double check that you not only updated his/her mailing address but confirm that his/her taxes are reflecting the correct state/local
  • Hours worked is required for the following states: MA, MN, OR, RI, VT, WA, WY, Virgin Islands are recorded on all applicable employees. Please verify hours have reported correctly

 

Before the First July Payroll

  • Verify all 2nd quarter adjustments have been submitted
  • Submit Payroll Related Company Policy Changes
  • Review Accumulators for Benefit Accruals: particularly any due to Reset July 1st (Vacation Hours, New Benefits, California Sick Leave*)

 

 

Additional Information:

 

  1. California Sick Leave:

Employees working 30 or more days per year are entitled to the sick leave benefit. Employees may accrue at a rate of 1 hour for every 30 hours worked, and may be capped at 48 hours per year. Due to the timing of the California Sick Leave law going into effect on July 1, 2015, many employers elected to track the leave hours from July 1 to June 30th as their benefit period.

Employers that opted to have their sick leave reset on July 1st, please review your benefit accrual and reset reports on your last payroll of June.

 

  1. Hours Worked Reporting for State Unemployment Filing

Certain jurisdictions require employers to report the number of equivalent hours worked for their employees as part of their State Unemployment filing. These states are Massachusetts, Minnesota, Oregon, Rhode Island, Vermont, Washington, Wyoming, and the US Virgin Islands. If you have not been recording hours for your salaried employees, please speak to your payroll service representative prior to your last June payroll to get the hours recorded.

 

  1. Amendments Cost         

In order to report any adjustments to your employee’s second quarter wages and avoid a potential $300 Amendment charge, ADP Resource is requesting that these amounts be recorded and / or addressed no later than your last regularly scheduled payroll for June or by the last day to submit for a 2nd Qtr Out-of-Sequence payroll.
